About this Notice

QLINK Motorcycle operates the QLINK Rider Club web platform (“QLINK”, “we”, “us”), which connects motorcycle riders (“Members”) with participating dealers, retailers and service stations (“Partners”). The legal entity responsible for the personal data described in this Notice is identified in Section 15.

This Notice explains what personal data we collect, why we use it, who may receive it, how long we keep it and the rights available under the Nigeria Data Protection Act 2023 (“NDP Act”).

Personal data we collect

Members

  • name, email address, telephone number and account credentials;
  • state, Local Government Area and any address you provide;
  • profile and cover photographs, where provided;
  • vehicle information, including VIN, ESN, model and registration or verification status;
  • proof-of-purchase receipts and photographs of vehicle identifiers that you submit;
  • coupon, loyalty stamp, redemption and service activity; and
  • communications and support requests.

Partners and Partner staff

  • business name, contact details, address and branch information;
  • optional latitude and longitude for a business location;
  • information identifying authorised Partner staff and their account credentials;
  • offers, coupons, redemptions, loyalty and service records;
  • service receipt photographs uploaded by the Partner; and
  • communications and support requests.

Technical information

IP address, browser and device information;

  • request paths, timestamps, login and security events;
  • user or account identifiers included in authentication and operational logs; and
  • strictly necessary authentication and branch-selection cookies.

QLINK does not process payments, sell personal data, use advertising technologies or use analytics services.

Partner business location

A Partner may choose “Use current location” while submitting a business or branch address. The browser then requests permission and obtains latitude and longitude once. The coordinates are sent to QLINK, stored with the Partner’s business or branch record and may be displayed on the public store page.

This option is voluntary. A Partner may refuse location permission and enter the address manually. QLINK does not collect a Member’s location and does not use continuous or background location tracking.

A Partner may ask us to correct or remove its business-location information, subject to information required to operate or verify the Partner account.

How we obtain personal data

  • directly from you when you register, apply as a Partner, update an account or submit information;
  • from a Member or Partner when they create a redemption, loyalty or service record involving you;
  • from authorised staff or administrators when they verify an account, Partner or vehicle; and
  • automatically from your browser or device when you use the platform.

Why we use personal data

Providing the platform

We use account, contact, vehicle and activity information to create and administer accounts, provide garage, coupon, loyalty and service-record features, connect Members with Partners, process redemptions and provide support. We rely on performance of our agreement with you or steps taken at your request.

Verification, security and fraud prevention

We use account, vehicle, device and activity information to verify accounts and vehicles, detect duplicate or manipulated registrations, coupons or QR codes, investigate misuse and protect the platform. We rely on our legitimate interests in operating a safe and fraud-resistant service and, where applicable, legal obligations.

Partner location and public store information

We use Partner-supplied business contact and location information to review Partner applications, operate store listings and help Members find participating locations. Precise coordinates are collected only after the Partner actively selects the location option and grants browser permission.

Communications and legal matters

We use contact information to send transactional account, security, invitation and service messages. We may also use relevant records to respond to lawful requests, meet legal obligations and establish or defend legal claims.

We do not send marketing messages through the platform and do not use personal data for third-party advertising, profiling or cross-service tracking.

Information visible through the platform

Partners receive only the limited Member information needed for the relevant interaction. Depending on the feature, this may include the Member number, coupon or loyalty details, vehicle model and the last four characters of the VIN. A Partner entering an exact VIN for an authorised lookup may receive the associated Member number and vehicle model.

QLINK does not return a Member’s name, email address, telephone number, address, profile photograph, full VIN or ESN, or uploaded verification documents to Partners.

Members may see public Partner information, including the business name, branch address or location, contact details, offers and applicable conditions. A Partner business location may identify a natural person where the business is operated by an individual or from a residence.

Partners may use Member information obtained through QLINK only for the relevant coupon, loyalty, vehicle or service interaction and not for unrelated marketing.

Who receives personal data

Members and Partners, to the limited extent described above;

  • service providers supporting cloud hosting, database and file storage, application delivery, transactional email, security and optional map display;
  • professional advisers where reasonably necessary for legal, audit or compliance purposes;
  • regulators, courts, law-enforcement agencies or other authorities where required or permitted by law; and
  • a successor organisation involved in a genuine restructuring, merger or transfer of the platform, subject to applicable safeguards.

Service providers are permitted to process personal data only for the services they provide and subject to appropriate confidentiality and security obligations. QLINK does not sell or rent personal data.

If you choose to open a store map, your browser connects directly to Google Maps. Google may receive your IP address and standard browser information and processes it under its own privacy terms. QLINK does not send your Member account information to Google for this feature.

Processing outside Nigeria

QLINK uses service providers whose infrastructure operates outside Nigeria. Database and uploaded-file storage are located in the European Union; application delivery and request logging occur in the United States; and security services may operate through global infrastructure.

Where personal data is transferred outside Nigeria, we rely on a lawful transfer basis and contractual or other safeguards permitted by the NDP Act. You may contact us for further information about the safeguards relevant to your data.

Retention and account deletion

We retain personal data only for as long as reasonably necessary for the purposes described in this Notice, to meet legal obligations, resolve disputes and protect the platform.

When a Member deletes an account, the active profile, Member vehicle records and Member-uploaded profile, cover and vehicle-verification files are deleted from active systems.

Redemption and service records may remain as Partner operational or settlement records. Direct account links are removed, but limited snapshots such as Member number, VIN or workshop information may remain where necessary for record integrity, fraud prevention, disputes or legal obligations.

A vehicle registry may retain a vehicle identifier and registration status after the account link has been removed, to prevent duplicate registration and manage later vehicle transfers. These records are de-linked from the platform account but are not treated as anonymous data.

Partner-uploaded service receipts and related service records are retained as reasonably necessary for the Partner service record, disputes and applicable legal obligations.

Security, access and application logs are retained according to the operational cycles of the relevant service providers and are not used for advertising or behavioural analytics.

Residual copies may remain temporarily in provider backups or caches until overwritten or expired through ordinary provider cycles. They are not used for normal platform operations.

If older data is restored from a backup, it remains subject to valid deletion requests and must not be returned to ordinary use merely because of the restoration.

We may retain particular information for longer where required by law or necessary for an active investigation, fraud review or legal claim. Access to such information will be restricted to the relevant purpose.

Your rights

Subject to applicable legal conditions, you may:

  • request access to your personal data;
  • request correction of inaccurate or incomplete information;
  • request deletion of eligible personal data;
  • request restriction of processing;
  • object to processing based on legitimate interests;
  • withdraw consent where processing is based on consent;
  • request portability of eligible personal data; and
  • complain to the Nigeria Data Protection Commission.

Members may edit certain information and initiate account deletion within the platform. For another request, contact us with “Data Request” in the subject line. We may request reasonable information to verify your identity.

Cookies

QLINK uses only cookies required for authentication, account security and a Partner’s selected branch. We do not use advertising or analytics cookies. Disabling necessary cookies may prevent account or Partner features from working.

Security and automated checks

We use reasonable technical and organisational safeguards, including encrypted transmission, hashed passwords, role-based access controls and server-side access restrictions. Private verification documents are made available only through controlled access to authorised users.

Automated controls may rate-limit activity, check for bots or reject duplicate vehicle identifiers. Consequential account, Partner and verification decisions are handled or reviewable by authorised personnel where appropriate.

No system can be guaranteed to be completely secure. You should keep your credentials confidential and notify us if you suspect unauthorised access. Where required by law, we will report a qualifying personal-data breach to the Nigeria Data Protection Commission and notify affected persons.

Children

The platform is intended only for persons aged 18 or older.

We do not knowingly collect personal data from children. If we discover that a child has provided personal data, we will take reasonable steps to delete it.

Changes to this Notice

We may update this Notice to reflect changes to the platform, our processing activities or applicable law. We will publish the revised effective date and provide additional notice where a material change requires it.
